Document sending

Learn how to use the document sending section on your generated files.

Ever found yourself in a situation where you need to send an important document to a participant or their nominee, but you're not quite sure how to go about it? Well, you're in luck! Coordinoter makes document sending a breeze, whether you prefer to go digital or old-school with a physical copy. Let's get you up to speed on how to send your generated documents to the right people.

Navigating to the Document Editing Page

First things first, you need to get to the document creation page. Here's how:

1. Click on the Documents item in the main sidebar menu or click [here].

2. Click on any of the documents you wish to have signed.

Now that you're on the document editing page, let's explore the sending options.

Digital Sending (Email)

Under the form, you'll see a Sending dropdown button. Click this to open up the document sending options. You'll notice two sections: one for Digitally Sending (email) and one for Physically Sending (hard copy postage).

In the Digital Sending block, you'll find two inputs:

  • Sent From: This is prefilled with your current email address.

  • Sent To: This is a Document Recipient dropdown that defaults to the assigned participant or their nominee/guardian's email address. The recipient dropdown will also include all of the participant's contacts and will update the email accordingly.

Once you've selected the recipient, click the Send Email button. The document will be automatically emailed to its respective recipient. You'll notice information on who the document has been sent to will become visible. Repeat the process to send to as many people as required.

Physically Sending (Hard Copy Postage)

In the Physically Sending block, you'll also find two inputs:

  • Sent From: This defaults to your current details, including your Trading Name and trading address. You can modify this if required. The Sent From is also added as the Reply-To/Return-To Address.

  • Sent To: This is a Document Recipient dropdown that defaults to the assigned participant or their nominee/guardian's postal address. The recipient dropdown will also include all of the participant's contacts and will update the address accordingly.

Sending via hard copy is a unique feature that sets Coordinoter apart from other software. When you choose this option, your documents will be sent from our Sydney Headquarters.

They will be printed on premium office stock, complete with your organisation's logo and sender information, and mailed in a branded envelope featuring your branding, logo, and trading name. This service requires credits to be purchased, which can be done in-app.

Why might you need to send a document physically? Sometimes, a good old-fashioned hard copy is just what the doctor ordered. Maybe the recipient prefers it, or perhaps it's required for compliance reasons. Whatever the case, Coordinoter has got you covered, making the process seamless and professional.
